SMS / WhatsApp Templates

The SpaCLub WordPress Theme includes a flexible SMS & WhatsApp Template Management system. This allows you to customize text messages sent to customers, admins, and staff members for appointment-related events. All messages support dynamic variables and can be edited without any coding.

1. Access SMS / WhatsApp Templates

  1. Log in to your WordPress Admin Dashboard.
  2. Navigate to SpaClub > Appointment.
  3. Click on the SMS / WhatsApp Templates menu.
  4. You will see a list of all available SMS templates.

Each template represents a system event where an SMS or WhatsApp message is triggered automatically.

2. Available SMS / WhatsApp Templates

The following SMS templates are available by default:

  • Add Feedback
  • Invoice Generate
  • Invoice Paid
  • New Appointment
  • Received Full Payment
  • Received Repeat Payment
  • Repeat Payment Reminder
  • Service Cancelled
  • Service Completed
  • Service Reschedule
  • Update Feedback
  • Update Service Staff

Click the Manage button next to any template to customize the message content.

3. Editing an SMS / WhatsApp Template

When you open any SMS template (for example Update Feedback), you will see separate message sections for different recipients.

  • Description (Customer) – SMS message sent to the customer.
  • Description (Member) – SMS message sent to the service staff member.
  • Description (Admin) – SMS message sent to the admin.

Each message can be customized independently. Keep SMS messages short and clear for better delivery.

4. Dynamic SMS Variables

SMS and WhatsApp templates support dynamic placeholders that are replaced automatically when messages are sent.

Common available variables:

These variables ensure messages always contain correct and real-time appointment information.

5. Permissions & Gateway Setup

To send SMS or WhatsApp messages, make sure you have configured your SMS gateway credentials under Appointment Settings > SMS / WhatsApp Settings.

You can also control which roles receive SMS notifications using the Set Permissions button.

6. Saving Changes

  • After editing a template, click Save Changes.
  • Use the Back button to return to the template list.

Tip: Avoid long messages and special characters to improve SMS delivery rates.
